Administrators are able to add and remove users from a course as long as they already have Moodle access, if not providing your ELF (eLearning Facilitator) with a list of users will get them created and added.<\/p>\n<h3>Resources<\/h3>\n<ul>\n<li><a href=\"https:\/\/help.otago.ac.nz\/moodle\/files\/2025\/03\/Upload_New_User_template.xlsx\">New User template<\/a> (xls spreadsheet)<\/li>\n<\/ul>\n<h2>Bulk adding new users to Moodle (or a Moodle course)<\/h2>\n<ol>\n<li>Download the <em>Upload New User\u00a0<\/em>template from above in the\u00a0<em>Resources<\/em> section.<\/li>\n<li>Fill in the spreadsheet with all your users &#8211; the yellow fields are the ones you need to worry about. The first line is filled in as an example &#8211; you can delete it.\n<ol>\n<li><strong>course01<\/strong> &#8211; the shortcode of the course you want to add the user to (some examples: 2017e2_PsyMedBlk or 2018w4_RADT401).<\/li>\n<li><strong>username<\/strong> &#8211; this is the user&#8217;s University of Otago username.<\/li>\n<li><strong>firstname<\/strong> &#8211; this is the user&#8217;s first name.<\/li>\n<li><strong>lastname<\/strong> &#8211; this is the user&#8217;s last name.<\/li>\n<li><strong>email\u00a0<\/strong>&#8211; this is the user&#8217;s University of Otago email address.<\/li>\n<li><strong>city<\/strong> &#8211; this is the user&#8217;s city (not compulsory).<\/li>\n<\/ol>\n<\/li>\n<li>Save the spreadsheet.<\/li>\n<li>Email the spreadsheet to <a href=\"mailto:med.moodle@otago.ac.nz\">med.moodle@otago.ac.nz<\/a> with your request.<\/li>\n<\/ol>\n<h2>Adding\/removing existing users to a course<\/h2>\n<p><em>Note &#8211; not all users have the capability\u00a0to add or remove users.<\/em><\/p>\n<ol>\n<li>Log into Moodle and navigate to your course.<\/li>\n<li>Select <em>Participants\u00a0<\/em>from the top of your course (just below the course title).<\/li>\n<li>This will show you a list of all the users in your course and their roles (if you can&#8217;t see your users make sure\u00a0<em>Enrolled Users\u00a0<\/em>is selected from the drop down menu at the top left of the area).<\/li>\n<li>To add a user click\u00a0<em>Enrol users\u00a0<\/em>in the top right of the page.\n<ol>\n<li>Search for a user (if you can&#8217;t find them check they are not already in the course, if they&#8217;re not in the course then they do not have a Moodle account and will need to be added by an eLearning Facilitator).<\/li>\n<li>Pick what role (level of access) you&#8217;re going to give them.<\/li>\n<li>Click\u00a0<em>Enrol selected user and cohorts<\/em>.<\/li>\n<\/ol>\n<\/li>\n<li>To remove a user click the rubbish bin icon at the far right of the screen associated with their name and details.<\/li>\n<\/ol>\n<h2>Add a role to an existing user in a course<\/h2>\n<p><em>Note &#8211; not all users have the capability\u00a0to add or remove users.<\/em><\/p>\n<ol>\n<li>Log into Moodle and navigate to your course.<\/li>\n<li>Select <em>Participants\u00a0<\/em>from the top of your course (just below the course title).<\/li>\n<li>This will show you a list of all the users in your course and their roles.<\/li>\n<li>Find the User, Click the pencil icon beside their role, select the role you wish to give them from the list.<\/li>\n<li>Now importantly, you need to save this &#8211; the &#8216;Save&#8217; button it looks like a floppy disk.<\/li>\n<\/ol>\n<h2>View a list of staff enrolled in a course<\/h2>\n<ol>\n<li>Log into Moodle and navigate to your course.<\/li>\n<li>Select <em>Participants\u00a0<\/em>from the top of your course (just below the course title).<\/li>\n<li>In the filter box, select\u00a0<em>None, Roles<\/em> and then enter both\u00a0<em>Student<\/em> and\u00a0<em>Guest student.\u00a0<\/em>This will show us only people that are not students (i.e. staff).<br \/>\n<img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-1327\" src=\"https:\/\/help.otago.ac.nz\/moodle\/files\/2023\/09\/Screen-Shot-2023-09-28-at-4.09.30-PM.png\" alt=\"\" width=\"588\" height=\"212\" srcset=\"https:\/\/help.otago.ac.nz\/moodle\/files\/2023\/09\/Screen-Shot-2023-09-28-at-4.09.30-PM.png 588w, https:\/\/help.otago.ac.nz\/moodle\/files\/2023\/09\/Screen-Shot-2023-09-28-at-4.09.30-PM-300x108.png 300w, https:\/\/help.otago.ac.nz\/moodle\/files\/2023\/09\/Screen-Shot-2023-09-28-at-4.09.30-PM-500x180.png 500w\" sizes=\"auto, (max-width: 588px) 100vw, 588px\" \/><\/li>\n<li>Click\u00a0<em>Apply filters.<\/em><\/li>\n<li>Below you will now have a list of staff enrolled in your course.<\/li>\n<li>If desired you can export this as a spreadsheet:<\/li>\n<li>Select all staff with the topmost check box<\/li>\n<li>At the bottom in\u00a0<em>With selected users&#8230;<\/em> select\u00a0<em>Download table data as &gt;
