Blackboard Paper Administration Application

Summary

The Blackboard Administration Application (sometimes nicknamed ‘BbStaff’) enables staff to:

  • View all the Blackboard papers they have access to
  • View the paper coordinators of each of their papers
  • View and change staff access for each paper (access level dependent)
  • Request new Blackboard papers
  • Rollover papers (only permissible by Paper Coordinators)

Important note about students: Officially enrolled students will not appear in this application, they are automatically added to Blackboard via the Student Management System. You are able to enroll students to non-official papers (synthetic) with this tool.

Using the Blackboard Paper Administration Application

Accessing the Blackboard Paper Administration Application

Staff can access the Blackboard Administration Application in any of three ways. Whichever route you choose, you’ll need to sign-in on the Waharoa page with your normal ‘p’ username and password.

  1. From any Blackboard paper
    • Visit a Blackboard paper you have a staff role in
    • Go to Course Management > Control Panel > Course Tools > Paper Administration
    • Click the ‘Manage Papers’ button on the far-right.
  2. By direct URL: https://corpapp.otago.ac.nz/blackboardstaff
  3. Via the University of Otago website
    • Visit https://www.otago.ac.nz
    • Click ‘Otago staff’ in the left-hand menu
    • Select ‘ITS Corporate Applications’
    • Sign-in
    • Click ‘Blackboard Staff’ in the list.

Managing Staff

  1. Open the Blackboard Paper Administration Application as above.
  2. Click the code of the paper you wish to modify in your My Blackboard Papers list.
  3. Please refer to the ‘Instructions and Notes’ on the right for guidance on adding news users and managing existing ones.
  4. Click Submit when you’re finished making changes.

Managing Paper Access Dates

  1. Open up the Blackboard Paper Administration application;
  2. Click the Paper Code of the paper from the My Blackboard Papers list;
  3. Click the ‘Edit Paper’ button atop the Paper Details section;
  4. The Search for official papers overlay box may display: click the blue ‘Cancel’ button to dismiss;
  5. In the Step 2 – User information section, click the calendar icon to the right of the date you wish to change;
  6. Click on the desired new date in the date-picker;
  7. Click the blue ‘Submit’ button at the bottom-right.

Requesting a new paper

  1. Open up the Blackboard Paper Administration application.
  2. Click the Request New Paper button in the My Blackboard Papers section.
  3. Decide if your paper is an official paper or not
  4. If your paper is official select which class lists of students should have access to the paper. If your paper is not official you’ll be asked to give your paper a name.
  5. Select when your students should be able to access your paper – by default your students will get access a week before semester starts and finish a week after exams end.
  6. Select up to two Blackboard Paper Co-ordinators – these are University of Otago staff members who will be responsible for the administration of the paper in Blackboard.
  7. Add any additional comments you need to make – please note that this will mean your request will go to ITS to check.
  8. Click Submit.
  9. Your request will now appear in the My Blackboard Requests section and you’ll be able to see what’s happening with your request.

Rolling over a paper

  1. Open up the Blackboard Paper Administration application.
  2. Click the Rollover link next to the paper you want to rollover (you’ll only see this link if you’re the Blackboard Paper Co-ordinator for that paper).
  3. If your paper is an official paper you’ll be shown a list of suggested class lists for your new paper – if the papers you want a not on that list you can search for them.
  4. Decide if you want to copy the content from your old paper into your new one or if you’d like an empty paper to start afresh.
  5. Select when your students should be able to access your paper – by default your students will get access a week before semester starts and finish a week after exams end.
  6. Select up to two Blackboard Paper Co-ordinators – these are University of Otago staff members who will be responsible for the administration of the paper in Blackboard.
  7. Add any additional comments you need to make – please note that this will mean your request will go to ITS to check.
  8. Click Submit.
  9. Your request will now appear in the My Blackboard Requests section and you’ll be able to see what’s happening with your request.
